A free line sheet template
A line sheet is what a store buyer orders from. For every style it says what it is, what the store pays, what it should sell for, and how many they have to take. This one is a plain spreadsheet, so it opens in anything.
Opens in Excel or Numbers. In Google Sheets: File, Import, Upload. Four rows are filled in (a bag, a hat, a jacket with a size run, a candle) so you can see the format; delete them and add yours.
From the makers of Line Sheet Studio, an app for Shopify stores. The template is free and works the same whether you sell on Squarespace, Etsy, Wix or no site at all; there's nothing to sign up for.
What goes in each column
- Style number
- The code a buyer writes on the order. Use the start of your SKU so orders match your stock without a lookup.
- Style name
- What you call it on your own site. Same name everywhere saves a lot of back and forth.
- Photo
- One clean shot on a plain background, by file name or link. Buyers look at the pictures first and read second.
- Colors and sizes
- Every option you'll take an order for, and nothing you can't ship in the window. Scents, finishes, metals and lengths go here too; separate them with commas.
- Wholesale price
- What the store pays you. A common place to start is half of retail, often called keystone.
- Retail price (MSRP)
- What you expect it to sell for. A buyer checks the gap between these two before almost anything else.
- Minimum per style
- The fewest units of one style a store can order. Leave it blank if you don't have one.
- Case pack
- If you only ship in packs, how many are in one, like 6 candles to a carton. Orders then come in multiples of it. Leave it blank if you ship singles.
- Ship window
- When the order leaves you, as a range of dates. Stores plan their floor around it.
If your buyers ask for more, add a column: UPC, materials, care, or country of origin are the usual ones.
And on the first page
- Your brand name and the season
- Opening order minimum and reorder minimum, in dollars or units
- Payment terms: prepaid, or net 30 after a first order, or whatever you offer
- The ship window for the whole collection
- Who to send the order to: a name and an email
Turning it into something you send
Buyers expect a PDF, not a spreadsheet. The quickest way from this file:
- Put a photo in each row. In Google Sheets, Insert, Image, Image in cell; in Excel, Insert, Pictures, Place in Cell.
- Make the rows tall enough for the photos to read, and hide any column a buyer doesn't need.
- Set the page to landscape and fit to width, then save or download as a PDF.
- Name the file with your brand and season, like Brand-SS27-Line-Sheet.pdf, so a buyer can find it again.
